What do I need to use CattleController?

Because you use CattleController in your web browser, you can use almost any Internet device you like. You can use a windows PC, a Mac, a UNIX machine or even Web TV.

You may find a printer helpful for making hard copies of your records.  Top

 

Which browser is best?

Whilst any modern web browser will allow you to use CattleController, you will find it works best using Microsoft Internet Explorer.  Top

Getting Started

How do I get my free trial month?

Just click on the Setup Trial Account link at the top of the page. You will be guided through the account setup process of entering your farm's details and setting up your personal lists of breeds, markets etc.  Top

 

I registered but didn't set up my personal settings. Now what?

You can add and make changes to your personal settings at any time. Click on the Admin tab when you are logged in and then click on "Step-by-step setup".  Top

 

I registered but didn't enter any cattle. Now what?

Just Login with your username and password and enter them as batches bought in the past. See below.  Top

 

Is there an easy way to enter all the cattle on my farm?

There are 2 ways of entering your historic records.

At the BCMS website (www.bcms.gov.uk) you can view a list of all the cattle known to be on your farm at the moment. When you set up your new CattleController account, you can load that list into your new account and save yourself typing in all the ear tag numbers, dates of birth, breeds, purchase dates and more.

To enter records of cattle no longer on your farm (if you want to have complete records on CattleController and use the Extensification tools), you can use the "Enter Historic Records" tool available on the Account Admin page.

On this screen you can enter purchase, sales and premium claim information at the same time as you enter each animal's details.  Top

Moving cattle

The market where I bought my cattle isn't in my list. What now?

Next to the market selection box is a link labeled "Add". Click to be transferred to the Locations Setup page where you can add the market. Once you've done that, click link back to the Buy Cattle page in the blue box at the top of the page.  Top

 

I've entered a batch of cattle, but the movement date is wrong. How do I change it?

You can change the movement date when you get to the Confirmation screen.   Top

 

I've pressed 'Record and Confirm' but keep getting a message saying the movement is not recorded. Why?

There is a Confirmation Screen before final writing of the movement to the database. This gives you an opportunity to check for errors and print a record for your files before saving the movement to your records.

If you are interrupted between entering the movement details and confirming the movement, the information you entered will be saved in a temporary file on the server for when you come back. Just click on "Buy Cattle" and you'll find your batch still entered and waiting for you.  Top

 

The cattle I bought have had two BSPS claims made on them already. How do I record this?

Just tick the appropriate boxes at the bottom of the Buy Cattle page in the Details section.  Top

 

I want to sell cattle - why is there a retention date in the list?

When you record BSPS premiums, the appropriate retention period is recorded for the cattle you claim on. This shows up on the selection list of the Sell Cattle page.  Top

 

How do I know if the cattle are in a withdrawal period after medication?

When you click on Sell Cattle, a list of all the cattle on your farm is displayed. One column of that list is called "Restrictions", any cattle in a medical withdrawal period or retention period will be flagged with the date that period will end.  Top

 

I want to print a list of cattle in the movement. How do I do it?

At the Summary Page, your herd is summaries in categories. Click either on a Category description or the All Cattle link. This gives a list of all the cattle on your farm in the category you selected.   Top

 

How do I record calves born on my farm?

Click on the Record Births tab at the top of the page. Enter the details and the calf will be added to your herd and an entry made in the Movement Book.

If you prefer, you can also record births from the genetic dam's record card. Use Find Cattle or any report to reach the record card and then click the Birth button.  Top

 

How do I record deaths on my farm?

Use Find Cattle or any report to reach the animal's record card and then click Record Death. Enter the date that the animal died and click the button. Your movement book, herd register and all other records will be updated.  Top

 

How do I keep my movement book up to date?

Your Movement Book is updated automatically when ever you move cattle on or off of your farm. You don't have to do a thing.  Top

 

Sending data to the BCMS

Can I apply for passports and send movement details to the BCMS by email?

Yes. Whenever you buy or sell cattle or record a birth, you can send the details to the BCMS at the same time as you update all your records. This service is free to all users - even those in their free trial period. Before you can use this service, you must sign and return a copy of the Terms of Service. There is a link on the confirmation pages of the Buy Cattle, Sell Cattle and Record Births sections. Once we receive your signed Terms of Service we will activate this feature on your account.Top

 

How do I send movement details?

Whether you are buying or selling cattle, sending the movement details to the BCMS works in the same way. Once you have inputted the cattle you are buying or selling and clicked on the Confirm and Record button, you'll be shown the Confirmation page. There are 2 buttons on this page - one to Record and Send; the other to only record the movement. As long as you have entered your Holding Number in your personal details page of Account Admin, clicking on Record and Send will update all your records and send the details to the BCMS.  Top

 

How do I send passport applications?

Sending passport applications is just like sending movement details. Once you have entered the details of all the calves born, the confirmation page will show you 2 buttons. Click Send and Record to apply for passports by email at the same time as your records are updated.  Top

 

How do I know my data was received at the BCMS?

As soon as you press the Send and Record button, CattleController sends an email to the BCMS containing your movement details or passport applications. Once the BCMS receive it, they check it for obvious formatting errors and send a receipt back to CattleController. We will then forward that receipt to you along with a copy of the details sent to the BCMS.  Top

 

What about Herd suffixes?

If you use herd suffixes or want your passports to be sent to another holding, enter them on the Confirmation page before you click Send and Record.  Top

 

Premiums

Can I print a list of cattle that I'm claiming BSPS on and use it in the claim form?

Yes. Once you've selected the cattle you are claiming on and reached the Confirmation Screen, click the button at the top of the page marked "Printer Friendly List" for a simple list of the cattle you are claiming on. Make sure you sign and date each page to use the list in your Claim Form.  Top

How do I record a Retention Period for the cattle I claim on?

CattleController records a Retention Period whenever you records Beef Premium claims.  Top

 

Reports

How do I view the movement book?

Click on the Reports tag at the top of the page and select Movement Book. Enter the start and end date of the period you want to view.   Top

 

How do I view the medicine book?

Click on the Reports tag at the top of the page and select Medicine Book. Enter the start and end date of the period you want to view.   Top

 

I want to print a list of all my cattle. How do I do it?

What is my current Stocking Density?

On the Summary Page, your herd is broken into categories and the Livestock Units for each is calculated. If you have entered your number of sheep claimed and your forage area in your Personal Details (in the Admin section), then your whole farm stocking density will be calculated.  Top

 

How will it vary as stock gets older?

As your cattle get older, the number of livestock units they count for changes very suddenly. CattleController helps you see the surprises around the corner. On the Reports page, select the Extensification Projector.

This shows a whole calendar year of the livestock units on your farm. For each of the "check dates" issued by MAFF, CattleController calculates the number of livestock units on your farm on that day. For the rest of the year, CattleController looks at the stock on your farm today and calculates the number of livestock units on selected dates in the future.

Finally, CattleController averages the 6 values and combines them with your sheep stock and your forage area to give you a estimate of your annual stocking density.  Top

 

Security

Are my records kept private?

Definately. When you register, you must choose a username and password. You must make these hard to guess as without them, noone can access your data.  Top

 

Who else can see them?

Your records are protected by your password. Noone can access them without your username and password.  Top

 

Will you tell anyone about my business?

No. CattleController does not share any of your data with anyone. It is confidential.   Top

 

I think someone knows my password. What should I do?

Call or email Support on 01823 681328 or support@cattlecontroller.co.uk . We will change your password for you.  Top

 

I've forgotten my password.

On the Login Page, click on "I've forgotten my password". Enter your Registered email address. The system will then ask you your security question. If you answer it correctly, your login name and password will be sent to your registered email address. If you cannot answer the question, send some information to prove you are the real account holder (passport details of 3 cattle on your farm) to CattleController using the Support form.  Top

 

Can anyone 'listen in' on the data I transmit?

No. Not only are your records protected by a password, noone can "listen in" when you are on line. CattleController runs on a "secure server" which encodes before it sends it over the Internet using SSL.  Top

 

What is SSL and BT Trustwise?

SSL ("Secure Sockets Layer") is the technology that makes this security possible. It's the same system that is used to keep credit card details secure on ecommerce sites. When you are logged into CattleController, everything is encoded to the same level as credit card numbers on those ecommerce sites.  Top

BT Trustwise is the organisation which has certified my server to belong to CattleController and allowed me to use this encryption system. See: www.trustwise.com  Top

 

Are my records backed up?

Yes. CattleController runs on a fully managed server and data is backed throughout the day and a daily backup is kept off-site (in case of fire).  Top
